MINUTES OF THE EXECUTIVE COMMITTEE


Meeting Date: February 4, 2008                                Place: Papa’s New Roost


Big Sir Don Denhard opened the meeting at 7:58 AM.  Ass’t. Secretary Dick Feaster reported that a quorum was present (see attached attendance report). The minutes of the January BEC meeting were approved with one amendment to change the meeting date from Wednesday to Thursday in the 3rd paragraph. (Honeychurch/Pfoutz)


TREASURER’S REPORT:

Treasurer Rich Brandau reported a beginning balance of $4812.16 and an ending balance of $4889.98 for the month of January. The major expenditures were: Printing, postage and supplies - $202; State Board Pro Rata Assessment - $148; with a total of $683 in all expenses. The report was approved (Pfoutz/Beltran).

Sir Richard Brandau reported that Branch 172’s books were audited by Sir Gary Bogolea and was approved with the concern that there were not hard receipts for the monthly rentals we have paid the Elk’s Club for our meetings. Sir Brandau reported that no representatives from the Elk’s were there after our meetings, so this has been a problem.

Sir Brandau therefore proposed this motion to the board:

“The Branch Treasurer is authorized to pay the Sonora Elk’s Club for the cost of renting their facility and setup requirements for the SIR Branch 172 monthly meeting. The currently agreed upon rates are as follows: $200 for the facility rental and $60 for set up charges. These amounts will remain in effect until such time as the SIR BEC and the Sonora Elks Club management agrees to modify the current rates” (Hard receipts may or may not be available.) Approved (Pfoutz/Beltran).


ATTENDANCE:

No report due to Sir Herb Spierling being snowed in.


MEMBERSHIP:

Sir Ralph Legg reported that Sir James Stewart has requested to be removed from inactive status. There were no vacancies to report in the active membership. The membership now stands at: 150 active, 4 inactive and 20 on hold.



STANDING COMMITTEE REPORTS:


LUNCHEON: Sir Henry Beltran reported that all arrangements were in place for our Thursday meeting. He is planning on 130 set ups plus the head table. Sir Bill Bamford reported that he is expecting 11 guests.


PROGRAM: Little Sir Ed Nissen reported that our speaker at the next meeting would be Rick Burkhard on alternative power options. The speaker for March will be Debbie Hernandez, speaking on Independent Medical Insurance.


COMPUTER USER’S GROUP: Big Sir Don Denhard reported that Sir Dick Chimenti is doing an excellent job with both the CUG and the webpage.


WEB PAGE: Sir Dick Chimenti is in the process of taking pictures of all the members. The pictures can be seen by going to the website and clicking on the member’s first name.


DIGITAL PHOTOGRAPHY GROUP: Sir Ray Pfoutz announced that he is planning on a DPG meeting in March.


GOLF: Sir Gil Wesson reported that the season starts in April. (After the meeting, Sir Wesson called to say that the schedule will be presented to the BEC for approval, published in the next bulletin and on our web site.)


BULLETIN: Sir Ed Nissen reported for Sir Stu Heller that the deadline for our next bulletin will be February 11th.


PUBLICITY: Sir Gil Wesson reported that the meeting announcement was posted in the Sonora Union Democrat as well as the Sierra Mountain Times.


TRAVEL: Sir Earl Nelson reported that he is proposing a bus trip to Reno in March. The agenda is: Silver Legacy Hotel, Reno; side trip to Virginia City; an optional show and a stop at Lake Tahoe on the return trip for a ride on the paddle boat. Total cost to be $290. Approved (Pfoutz/Nissen)


RV: Sir Harvey Uhl proposed the following RV outings for the year:

THEATER: Sir Dick Feaster reported that 88 people have signed up for “The King and I” to be shown on March 19th. So far 50 people have signed up for dinner after the play.


MOVIE: Sir Ray Pfoutz proposed a movie for the last week in February. Approved:(Pfoutz/Desrosiers)


FELLOWSHIP: Sir Roy Smith’s wife, Margie passed away two weeks ago. Sir Carl Nunes is aware of this.


HIKING: Sir Jerry Jensen requested approval for a hike on February 20th to the New Melones Reservoir. He also requested approval for another snowshoe hike on February 12th. Approved: (Honeychurch/Brandau). Big Sir Don Denhard commented on how much fun the first snowshoe hike had been.


BOWLING: No report


FISHING: No Report



OLD BUSINESS:

Big Sir Don Denhard reported on the progress of bar code admission records keeping. Bar codes have been assigned to all members and Sir Bill Bamford has attached them to the back of everyone’s badge. The exception is Past Big Sirs who will have bar codes available on a sheet at the sign in table. For the next meeting, we will run parallel bar code and manual check-ins to make sure the system works to everyone’s satisfaction.


NEW BUSINESS:

 At this time, there is only one member who has not volunteered to pay his $20 annual dues for 2008.

The meeting was adjourned at 9:05 AM


The next BEC meeting will be at Papa’s New Roost on March 3, 2008 at 8:00 AM.
