MINUTES OF THE EXECUTIVE COMMITTEE

 

 Meeting Date: December 28, 2007                                    Place: Papa’s New Roost

 

Big Sir Don Denhard opened the meeting at 7:55 AM, and requested that each Sir present introduce himself and state his position. Secretary Dan Mohn reported that a quorum was present (see attached attendance report).  The minutes of the December 3, 2007 BEC (Branch Executive Committee) meeting were approved as sent to all Officers and Directors by electronic media. (Bamford/Beltran).

 

TREASURER’S REPORT:

Assistant Assistant Treasurer Richard Robinson reported a beginning balance of $8758.84 and an ending balance of $4812.16 for the month of December. The major expenditures were: Printing and Supplies - $131.52; and Postage - $61.50, Officers’ Expenses - $31.92 and guest expense - $12. Assistant  In addition, $4157 was expended for the Christmas Party.  The report was approved. (Bamford/Honeychurch).  Assistant Treasurer Robinson presented a revised Proposed 2008 Budget. Following review and comment, the proposed 2008 budget (revised) was approved (Pfoutz/Beltran).         

 

ATTENDANCE:

Assistant Attendance Chairman Bill Bamford reported 10 Sirs had called, to date, that they would not be attending Wednesday’s luncheon, and that 5 guests would be attending.

                       

MEMBERSHIP:

Membership Chairman Ralph Legg reported that Sir Bill Chaty had passed away, and Sir Bill Dobbs had resigned because he is moving from the area. Donald Humphrey submitted a new member application. Chairman Legg moved, seconded by Sir Richard Robinson, that Mr. Humphrey be approved for membership, pending a position becoming available. Gerry Fountain will be inducted at Thursday’s Luncheon Meeting. The membership stands at 150 active (with the induction of Mr. Fountain), 4 inactive and 20 awaiting membership. 

 

STANDING COMMITTEE REPORTS:

 

LUNCHEON: Sir Henry Beltran will inform the Elks Lodge to set places for 110 Sirs and guests, plus the head table, for Thursday’s luncheon.  

                       

PROGRAM: Big Sir Don Denhard reported that Debbie Fahl and her drug-sniffing dog will present the program for Thursday’s luncheon meeting.                       

 

COMPUTER USER’S GROUP:  Sir Dick Chimenti requested approval for a meeting on January 17th at the China House in Twain Harte. The meeting program will start with dinner at 6:30 pm and will discuss personal computer security programs that are available at no cost. Approved (Bamford/Desrosiers).

 

WEB PAGE: Sir Dick Chimenti will be managing the Web Site.

 

DIGITAL PHOTOGRAPHY GROUP: Sir Ray Pfoutz reported that he has nothing planned for January, and program suggestions are invited.

 

GOLF: Sir Gil Wesson reported that the season will start in April.

 

BULLETIN: Sir Stu Heller stated that Tthe deadline for January’s bulletin items is January 7th. Sir Heller stated that the deadline will always be the Monday following the luncheon.

 

PUBLICITY: Sir Gil Wesson reported that the meeting notice was published in the Union Democrat. The Sierra Mountain Times did not publish the notice because of date scheduling.

 

TRAVEL: No Report

 

RV: No Report

 

THEATER: No Report

 

HIKING: Sir Jerry Jensen, by email, requested approval for a snowshoe hike at Dodge Ridge, near Pinecrest for January 16, 2008, car-pooling from Eproson Park at 9:00 am. Approved (Mohn/Denhard).

                                                 

MOVIE: Sir Ray Pfoutz requested approval for a “Lunch and a Movie” for January, the movie and the date to be determined after a review of the movies at the Sonora Movie Theater. Approved (Robinson/Beltran).  

 

FELLOWSHIP:  Big Sir Denhard reported that Sir Bill Chaty had passed away. Sir Carl Nunes will send an appropriate card.

 

OLD BUSINESS

Big Sir Denhard and Sir Henry Beltran reviewed the Christmas Party food and service, entertainment, and finances. The dining room setting was great with table decorations by Pauline Beltran. The food was good, the beef was very good, while the chicken was just good. The entertainment was outstanding. The built-in dining room sound system was no good. One microphone kept cutting out. (Sir Beltran will report this to the Elks’ Lodge manager). One hundred seventy two tickets were sold for $4300. The total expenses were $4225.28. The $66.72 residual will be applied to the 2008 Christmas Party expenses.

 Big Sir Denhard thanked Sir Henry Beltran for a job well done. All Sirs present seconded this.

 

 

New Business

Big Sir Don Denhard proposed that the Branch set up and use a bar-code system for logging in Sirs at the luncheon to increase accuracy and efficiency, and generally make attendance keeping less of a chore for the attendance chairman. Big Sir Denhard estimated that the total cost of the set-up would not be more that $500, including a refurbished notebook computer and the software. Big Sir Denhard had purchased the software so that he could demonstrate the system. Discussion ensued and the system applications were demonstrated. Sir Dennis Honeychurch offered the use of his spare notebook computer for a couple of months so the system could be thoroughly tested before the total investment was expended. Big Sir Denhard proposed that: the Branch reimburse him for the cost of the software; accept the use of Sir Honeychurch’s notebook computer temporarily; and use the system for several months. If the system works as hoped a notebook computer would then be purchased. The proposal was approved (Pfoutz/Beltran).

 

The meeting was adjourned at 9:10 am.

 

The next BEC meeting will be at Papa’s New Roost on Monday, February 4th at 8:00 am.
