TWAIN HARTE BRANCH NO. 172

MINUTES OF THE EXECUTIVE COMMITTEE

Corrected 11-03-06

Meeting Date: October 30, 2006 Place: Papa's New Roost

Big Sir Dick Feaster opened the meeting at 7:55 AM. Secretary Dan Mohn reported that a quorum was present (see attached attendance report). Big Sir Feaster welcomed Sir Rich Brandau to the meeting and called for self-introductions. The minutes of the October 2, 2006 Branch Executive Committee (BEC) were approved as presented to each officer and director by email. (Wellwood/Holton).

TREASURER'S REPORT: Assistant Treasurer Bob Wright reported a beginning cash balance of $2668.41 and an ending cash balance of $3903.17 for the month of October. The major expenses for the month were $106.24 for printing and supplies. Nineteen Sirs have contributed their $20 donation for 2007. The Treasurer’s Report was approved. (Wellwood/Holton).

ATTENDANCE: Attendance Chairman Herb Spierling recommended that Sir Bill Chatty be placed on Inactive Status. Approved (Holton/Smith). This action opened a spot for Don Escallier, who has been on the waiting list for several months, to be inducted. Chairman Spierling reported that the following Sirs had missed six or more meetings during the past 12 months and requested guidance from the BEC for specific action to be taken: Sirs Gary Aldrich, Lee Beam, Dick Bezerra, Gary Bogolea, Ralph Bushnell, Ken Lew, Paul Price, Jerry Redfern, Rolan Sloan, John Snodgrass, and James Stewart. Each Sir has been contacted by a Branch Officer to determine his interest in remaining a Sir on active status. A lively discussion ensued. Sir Dave Holton moved, seconded by Sir Joe Smith that Sirs Aldrich, Lew and Sloan be sent "Attendance Letter No. 1". Sir Bob Wright agreed to talk with Sir Jim Stewart about going on Inactive Status until his health allows him to return to Active Status. The remaining listed Sirs have agreed to improve their attendance records. Chairman Spierling noted that when the luncheon check in line becomes long, some Sirs bypass the line and pay for lunch a little later and do not get logged in by the Attendance Chairman. Sir Spierling requested time to make an announcement at Thursday’s meeting concerning this. A notice will also be published in the bulletin stating that each Sir must check in with the Attendance Chairman to get credit for the meeting. Director Dave Holton requested that the subject of "Excused vs. Unexcused" absences and the formation of a special committee to deal with extensive absences be put on the agenda for the December BEC.

MEMBERSHIP: Membership Chairman Lee Piercey moved for approval of the following new members pending memberships becoming available: Bob Rogers and John McCreary. Approved (Wellwood/Wright). The membership stands at 150 active, 5 inactive and 7 on hold.

STANDING COMMITTEE REPORTS:

LUNCHEON: Big Sir Feaster reported that he met with the Golf Club’s caterer immediately after last month’s luncheon, when approximately 25 Sirs did not get a full meal served to them because the new caterer, employed by the Golf Club, did not prepare enough of the main course. The caterer stated that too many Sirs took more food than they should have, even though her staff was serving the main course, and that she would not cook for us again. Big Sir Feaster and Luncheon Chairman Don Wooldridge subsequently met with Golf Club Manager Mike to discuss food service. We suggested that Dino, the Chef and Caterer that caters for the Elks Lodge, and who prepares the luncheon for Sir Branch 136; cater the luncheon for Branch 172. Club Manager Mike agreed to use Dino with the understanding that Dino would cater to the Golf Club for Branch 172 at the going price per lunch, rather than having Dino catering directly us and paying the Club a user fee. If things work out with the Golf Club, Dino has agreed to prepare the Branch 172 Christmas Dinner Party as well. Discussion ensued regarding how to improve the luncheon situation with the Golf Club. Following the discussion, Big Sir Feaster directed Sir Don Wooldridge to give Club Manager Mike a written order on the Monday or Tuesday before each Thursday luncheon, stating the estimated number of lunches to prepare, (plus or minus 10%) has previously been agreed to by the Golf Club), the table set-up and the required set-up for the program speaker. Big Sir Feaster will work with Sir Wooldridge on preparing the exact form of the letter to be used.

PROGRAM: The speaker for Thursday’s luncheon will be Mike Gromely, an expert on digital photography and high definition movies. Mr. Gromely’s program will include recent High Sierra footage captured with a high definition video camera as well as "still" images captured in a high definition format.

Sir Kinsfather anticipates that 95-100 Sirs and spouses/guests in two groups are expected to participate in the "Play and Dinner" program. Sir Kinsfather needs a host for each play/group and will be seeking volunteers.

OLD BUSINESS:

SIR SHIRTS AND JACKETS: Twenty Sirs have signed up to purchase a logo shirt. A sample has been prepared and will be available to show at Thursday’s luncheon meeting. Sir Rich Brandau has volunteered to take orders and the money on Thursday. A minimum of twelve orders is needed to proceed with the procurement.

NEW BUSINESS:

Christmas Dinner Party: Sir Henry Beltran reported that he had sold all but 40 of the 152 available tickets and anticipates selling out at Thursday’s luncheon meeting. He has ordered the table centerpieces and contracted for the entertainment. The only uncertainty is the Golf Club having a chef to prepare the dinner. The Branch is banking on Chef Dino being retained by the Golf Club to cater the dinner.

Big Sir Feaster reminded the BEC attendees that there would be: a regular luncheon meeting in December, to install 2007 Officers and Directors and a short program by Sir Ray Pfoutz, and the Christmas Dinner party on December 14, 2006.

The meeting was adjourned at 9:11 AM.

The next Executive Committee meeting will be 8:00 AM Monday, December 4, at Papa’s New Roost.
