MINUTES OF THE EXECUTIVE COMMITTEE

          Meeting Date: January 4, 2010                                            Place: Papa's New Roost

Big Sir Earl Nelson opened the meeting at 7:56 AM.  Ass’t. Secretary Ed Nissen reported that a quorum was present (see attached attendance report).  The minutes of the November 30, 2009 meeting were approved as electronically sent to all Officers and Directors. (Bushnell / Honeychurch). 

TREASURER'S REPORT:

Past Treasurer Richard Brandau reported a beginning balance of $10,073.48,  and an ending balance of $6,786.02 for the month of December. There was a large inflow of cash during the month for next year voluntary contributions ($4802,300) and the Christmas party ($375), and other Operating Residuals of $93.

The expenses for the month were printing, supplies and postage - $222; Christmas Party:  $3900; $105 for Miscellaneous, and, Answering Service - $8.   The Treasurer’s Report was approved. (Vaca / Bushnell).

ATTENDANCE:

Attendance Chairman Bill Anning reported that 10 Sirs have called that they would not be attending the luncheon meeting. Sir  Harvey Uhl  reported that 10  guests will be attending.

MEMBERSHIP:

Membership Chairman Larry Bertuccelli reported that he had received no new member applications.  The membership stands at 150 active and 5 inactive.

STANDING COMMITTEE REPORTS:

LUNCHEON: Sir Jim McCracken reported that all is set for Thursday’s luncheon.  A setup for 130 including the head table will be requested.

PROGRAM:   Mike Remmel, spokesman for CHP will speak this Thursday, as planned speaker will have surgery.

COMPUTER USERS GROUP:  No program scheduled.  Xmas pictures available for members.

WEB PAGE:  Xmas pictures will be left on website, but if you want prints ask Dick or Ray for a better quality print.

GOLF:  No report.

BULLETIN:  Sir Stu Heller requested that all bulletin items be submitted to him by .January 11th.

PUBLICITY:  Sir Gil Wesson reported that both the Sierra Mountain Times and the Sonora Union Democrat published a notice of Thursday’s Luncheon Meeting.

TRAVEL:  Earl Nelson reported that “Disney on Ice” trip is cancelled.  However, 20 people have signed up for the trip to Canada this year. 

RV:  No report.

THEATER:  Sir Rich Brandau reported that show Guys & Dolls March 17, menu at Bannys.  Venue previously approved by Board.  Approved (Bushnell / Escalier).

HIKING GROUP:   Snowshoe hike approved 1/19, depending upon weather (Beltran / Brandau).

MOVIE:  Sir Ray Pfoutz requested approval for a Sherlock Holmes movie.  Also, It’s Complicated movie scheduled for 1/19  at the East Sonora Regal Entertainment Theater, with a meal accompanying. Approved (Robinson / Bushnell).

FELLOWSHIP:  Sir Bill Bamford stated that no cards sent.

OLD BUSINESS:

Christmas Party After-Action Report.  Held on December 15th; 164 tickets  sold + 6 guests;  Total income:  $4100.  Expenses:  Lodge Cost $838; Dean meals: $2750;  Entertainment:  $480;  Other Expenses: $522. Total Expense:  $4590.  Detailed report attached by reference.

NEW BUSINESS: 

Treasurer presented 2010 Budget:  Contributions $3200; Other operating residuals $1865; Total Income:  $5065;  Expense:  Printing & Supplies $1225;  Postage & Mailing $965; State assessment $600; Christmas Party $1700;  Other $475;  Total Expense:  $5065. Approved (Jensen / Vaca).  Detailed budget attached by reference.

Status of Audit.  The CPA, Gary Bogolia will audit books and issue report. 

The meeting was adjourned at 8:42 AM.

The next Executive Committee Meeting will be 8:00 AM, Monday, February 1, 2010 at Papa’s New Roost with breakfast starting at 7:00 AM. The monthly luncheons are generally held on the first Thursday of each month at the Sonora Elks’ Lodge.
